The Proposal Specialist is responsible for the entire proposal life cycle and plays an active part within the overall Bid team challenging solutions, driving best practices, and ensuring on-time, high quality and well-articulated responses.
Responsible for the timely delivery of allocated proposal activities ensuring the highest quality of customer deliverables;
Manage the proposal response working closely with the Bid and Sales team;
Produce & manage the proposal project plan (including risk analysis & contingency planning) ensuring that all necessary activities are completed on-time;
Ensure a consistent and clear story in the overall proposal document;
Ensure proposal submission is complainant with the RFP requirements;
Host color reviews working within SITA's Business Approval Board (BAB) process;
Edit and improve upon subject matter expert-provided content;
Lead proposal learning reviews by providing objective facilitation and developing clear action plans.
Work with Bid Manager (if assigned) to facilitate the proposal strategy meeting with the Bid and Sales team, as well as other key proposal contributors to 'storyboard' proposal content based on customer & competitive analysis;
Responsible for the final production and assembly of the submission, including printing and shipping.
MUST HAVE: Minimum 5 years of experience within commercial industry and quasi-government bidding in Spanish and English. (Preferred: Portuguese as well);
Preferred experience managing proposals in the IT and Telecommunications industry with experience in the Air Transport Industry (ATI)
KNOWLEDGE & SKILLS
Expert skills in MS Word, PowerPoint, SharePoint, Outlook, and Adobe Professional Acrobat.
Expert documentation production skills including printing, assembling, troubleshooting, working with outside print vendors, and shipping carriers.
Working knowledge of MS Project, Visio, and on-line bidding systems such as Ariba, BidSync, and Planet Bids.
Clear understanding of proposal management processes including pre-proposal planning strategy development and storyboarding proposal writing skills.
Excellent facilitation skills.
Ability to build & motivate proposal teams, quickly establishing credibility and rapport with sales & business staff and to form teams across organizational boundaries without direct authority.
Enthusiasm for working in an intense, deadline-driven environment.
Able to work effectively on multiple concurrent projects.

EDUCATION & QUALIFICATIONS
Bachelor's degree in a numerate business or languages discipline or significant relevant experience.
Ideally holding at least Foundation Level Association of Proposal Management Professionals (APMP) accreditation and/or equivalent formal training in Proposal or Bid Management.
